GUIDELINES FOR SUBMITTING A PROPOSAL
The proceedings of the Humanities Conference are published in the International Journal of the Humanities. All papers are fully refereed. To submit, at least one author of each paper must be registered to attend the Humanities Conference (to a maximum of one paper per registered author - which means, for instance, that two registered authors may submit two jointly authored papers).
Registration may be for in-person presentation, or virtual presentation. Registration for a virtual presentation means that your presentation will be included in the conference proceedings and your paper will be refereed for publication. As well as a hard copy offprint of your paper, virtual presenters will also be provided access to the full electronic version of that year’s conference proceedings in CD format. Papers are published continuously to the Journal’s online bookstore, as soon as the publication process is completed for each paper (and that can be any time before the conference, and continues after the conference as papers are refereed). The conference proceedings for each year constitute one volume of the Journal.
It is possible to attend and present at the Conference without submitting or publishing a formal written paper if you choose not to do so.
Papers should be approximately 2,000-5,000 words in length. They should be written as continuous expository narrative in a chapter or article style - not as lists of points or a PowerPoint presentation.
Please remember that the papers are to be published in a fully refereed academic journal. This means that the style and structure of your text should be relatively formal. For instance, you should not submit a verbatim transcript of your oral presentation, such as ‘Today I want to speak to you about ...’.
You may use any referencing style you choose, as long as you use it consistently and to the appropriate standards. Spelling can vary according to national useage, but should be internally consistent. Papers should be thoroughly checked and proof-read before submission, both by the author and a critical editorial friend.
Papers will be assessed by referees against ten criteria - or fewer if some criteria do not apply to a particular kind of paper.
We require presenters to use CGCreator Microsoft Word Template which can be downloaded here.
We are not able to accept papers that have not used the template.
The refereeing process for publication in the Journal is a rigorous measure of the quality of content. Authors are expected revise to the standards required of the more negative of the referee reports they receive. For instance, if one referee recommends ‘resubmit with major revisions’ and another ‘resubmit with minor revisions’, the author is expected to resubmit with major revisions.
Furthermore, some papers may have excellent content, but may be poorly expressed in English - in the case, for instance, of authors whose first language is not English. When we receive a negative response from a referee to Criterion 10, ‘Quality of Communication’, we may request a complete rewrite regardless of the overall score. This could be arranged by the author themselves, preferably using an experienced editor. Alternatively, Common Ground offers an editorial service at $AUD25 per page.
Completed papers should be emailed as an attachment to <firstname.lastname@example.org>. The deadline for submission is 4 September 2005, one calendar month after the closing date of the conference.
Once your paper has been received and checked to ensure that corresponding files open you will be sent an official receipt notice via email. This receipt notice will include the administration number allocated to your paper. If you do not receive an official receipt confirmation within five working days of submission please contact the conference secretariat immediately.
The publication process is as follows:
- Submit a presentation proposal (in-person or virtual) at this link before the next call for papers deadline.
- If your proposal is accepted, you may then register for in-person or virtual presentation. You may submit your paper any time between registration and one calendar month after the closing date of the conference (conference close: 5 August 2005; final submission date: 5 September 2005).
- Once your paper is received, your identity and contact details are removed, the paper is matched to two appropriate referees and then sent for review. You will be notified via email when the paper is received and sent too referees.
- When referee reports are returned, they are sent back to you with the referees’ identities removed. If full refereeing of your final paper is required before the conference in order to attend in-person, papers should be submitted more than three calendar months before the opening date of the conference.
- Papers are published in print and electronic formats in the International Journal of the Humanities.
Conference participants will be provided one printed copy of their own paper (spiral bound, with a colour cover) and free access to all papers in the electronic format (a this stage, a CD once all papers for a conference or volume of the Journal have been finalised). The papers will be made publicly available at the Journal bookstore.
You may submit at any time. The deadline for publication into a particular year of the conference journal, is one month after the completion of the conference. The timeline for 2005 is as follows:
- 24 July 2004: First date full papers can be submitted for 2005 edition of the Journal. Individual papers will be published one by one, as the refereeing and publication process is completed.
24 August 2004: Deadline for the first round call-for-papers.

- 2 May 2005: Final date for submission of papers for double blind refereeing - 3 months prior to the start of the conference (for an explanation, see The Peer Referee Process).
- 2-5 August 2005: The Humanities Conference 2005, Cambridge, UK.
- 5 September 2005: Final date for submission of papers for one way blind refereeing - 1 month after the close of the conference (for an explanation, see The Peer Referee Process).
- From November 2005: Individual papers published to web upon completion of full referee and production process.
- Approx February 2006: Full text of the 2005 edition of Journal compiled and published to CD.
Please note: Anticipated time frames for the referee and publication process are reliant on full participation from the conference and Journal peer community. Final dates may be subject to change.
Conference presenters, including those who present in person and ‘virtual’ presenters belong to a community of professional interest and concern, and on this basis are asked to provide critical and constructive feedback on the work to their peers. People who have been accepted to present at the Conference are requested to referee up to three other papers from the conference they attend, or subsequent conferences.
The refereeing process for the Journal can be either 'one way blind' (paper submission one month after the conference, which gives the presenter the chance to refine their paper in the light of their presentation) or 'double blind' (paper submission three months before the conference, which means the presenter needs to have a finalised, fully publishable paper well before the conference). 'Double blind' means that neither the author nor the referee are provided each other's identity. 'One way blind' means that the referee knows the identity of the author, although the referee's identity remains confidential. 'Double blind' refereeing cannot be guaranteed later than three months before the conference because it is easy to locate the title and author in the conference program.
If the outcome of the referee reports is a recommendation that the paper should not be published, we provide the opportunity for rewrite and resubmission to different referees.
Papers will be assessed by referees against ten criteria—or fewer if some criteria do not
apply to a particular kind of paper.
Papers may have a focus on practice, research or theory, and will be assessed against the kind of focus they have.
Referees are requested to observe the following guidelines:
- Expertise: Papers are not always sent to a referee whose field is identical to the subject matter of that paper. You don’t have to be precisely qualified in a field to be a constructive referee. In fact, quite the contrary, an excellent paper will speak beyond its narrowly defined field. If, however, a paper is so distant from your field that you do not feel qualified to judge its merits, please return it to the publishing manager for the journal, who will locate another referee.
- Confidentiality: Referees receive unpublished work, which must be treated as confidential until published. They should destroy all electronic and printed copies of the draft paper and referee report once they have received confirmation that their reports have been received by the publishing manager (in case we can’t open the report files you send us). Referees must not disclose to others which papers they have refereed; nor are they to share those papers with any other person.
- Conflict of Interest: Referees must declare any conflict of interest or any other factor which may affect their independence—in cases for instance, where they have received a paper of a colleague or an intellectual opponent. In cases of conflict of interest, please notify the editorial team of your inability to referee a particular paper.
- Intellectual Merit: A paper must be judged on its intellectual merits alone. Personal criticism or criticism based solely on the political or social views of the referee, is not acceptable.
- Full Explanation: Critical or negative judgments must be fully supported by detailed reference to evidence from the paper under review or other relevant sources.
- Plagiarism and Copyright: If a referee considers that a paper may contain plagiarism or that it might breach another party’s copyright, they should notify the editorial group for the journal, providing the relevant citations to support their claim.
- Responsiveness: Referees are asked to return their reports within two weeks. This assists us to provide rapid feedback to the author.
Conference presenters are not obliged to publish in the Journal, however, if you do decide to take this option, publication will be based on the following publishing agreement:

- COMMON GROUND WILL PUBLISH THIS PAPER OR CHAPTER
- This agreement is between the author(s) of the submitted work and Common Ground Publishing. Common Ground will publish this work in print and electronic formats, separately and/or in a collection of other papers/chapters. Common Ground will provide the author with an electronic copy of the work when it is first published. The author may purchase printed copies of the work at the author discount of 50% of the recommended retail price.
- COPYRIGHT IS THE AUTHOR'S
- Copyright will be attributed to the author(s). Common Ground will be the exclusive international publisher of the work in all formats. Common Ground will pay the author 50% of rights purchased for any other purpose -including translation, photocopying and re-publication rights.
- THE AUTHOR WILL REFEREE THREE SIMILAR PAPERS OR CHAPTERS
- Each author agrees to review or referee at least three other works on comparable themes and of similar length within twelve months this agreement. The author(s) may reject a request to review a particular work, but they nevertheless agree either to communicate this or to return a completed review or referee report within two weeks of an email request being made by Common Ground Publishing.
- THERE IS NO UNLAWFUL MATERIAL
- The author(s) assure the publisher that the material contained in the paper/chapter is not defamatory, unlawful, obscene, invasive of another person's privacy, hateful, racially or ethnically objectionable, abusive, threatening, harmful or in contempt of court, and undertake to indemnify Common Ground Publishing against any claims which may be made in situations where material is considered to be any of these things, or has any of these effects.
- THERE IS NO INFRINGEMENT OF THE COPYRIGHT OF OTHERS
- The author(s) assure Common Ground Publishing that the chapter/paper is based entirely on original material, that it does not infringe anybody else's copyright, and that the author(s) have the right to licence copyright to Common Ground. In the case of copyright material, such as the use of quotes or images beyond what is legally considered 'fair use', the author(s) and/or editor(s) will undertake to arrange, and if necessary to pay for, permissions, and retain documentation proving that these permissions have been secured. The author(s) agree to indemnify Common Ground against any claims as a result of breech of the copyright of others.
- The publisher will pay royalties at a rate of 20% of the publisher’s sales revenues, either direct sales revenues through the publisher’s own online bookstore, or indirect sales revenues to other online or physical bookstores. In the case of author purchases, the royalty payment is included in the author discount of 50%. Below a minimum amount of $US50, royalties will be allowed to accumulate. Royalties shall be divided amongst the author(s) on the assumption that their contributions are equal. Royalties will be paid on a six monthly basis.
- THE AUTHOR(S) AGREE TO PUBLICATION
- By submitting their paper for refereeing and then resubmitting the final paper for publication, the principal author (the person who has submitted the paper in its original or revised form) will accept the terms and conditions of this agreement agreement. In the case of multiple authorship, the principal author guarantees Common Ground that they have provided the other authors with a copy of the text for their checking, and that they have all agreed to the terms of this agreement.
